Record the address, surface, truck route, gates, distance from parking and any bump-in restrictions. Public land may require approvals; confirm responsibilities with the venue and supplier.
Audience and facilities
Share guest numbers, event hours, alcohol service, food service and accessibility needs. Consider handwash stations, urinals, attendants and a separate staff or performer facility.
Timing and contingency
Ask about delivery, collection, servicing, weather and changes to guest numbers. Luxury trailers and large event plans need more lead time than a single standard unit.
